How Kolabrya works

Transforming Meetings with Intelligence and Visualization

Kolabrya redefines the meeting experience by integrating advanced intelligence and real-time visualization into your workflow. Here’s a step-by-step guide on how it operates:

  1. Calendar Integration: First, connect your Google or Microsoft calendar with your Kolabrya account. This synchronization allows Kolabrya to track your upcoming meetings, whether they're on Zoom, Google Meet, or Microsoft Teams.

  2. Pre-Meeting : After calendar is synced, you will see your meetings in Kolabrya with 'Set agenda, share, and collaborate' link. You can share this link with others to collaborate on meeting materials, agenda, and goals. 

  3. In-Meeting: As your meetings begin, the Kolabrya Assistant joins in. More than just a silent observer, this assistant actively engages by asking contextually relevant questions in real-time, fostering a more dynamic and interactive meeting environment.

    1. Real-Time Visualizations: Throughout the meeting, Kolabrya generates live visual tools such as Meeting Maps and Meeting Kanbans. These are not static images but evolving representations that categorize and display meeting elements like summaries, decisions, risks, suggestions, and issues.

    2. Dynamic Meeting Intelligence: As discussions progress, Kolabrya’s intelligent system dynamically categorizes and organizes the content. This ensures that all aspects of the meeting are captured and understood in real-time, offering participants a multi-dimensional view of the conversation.

  4. Post-Meeting: After the meeting concludes, Kolabrya compiles and shares these insights and visual summaries with the admin participant. 

Unable to connect calendar account

If your calendar is not connecting, there may be various settings or issues that could be causing the error.

  • Try clearing cookies and cache on your browser. Learn how to clear cookies and site data in ChromeSafari, and Firefox. Once you have cleared cookies and cache, restart your browser, and try connecting your account to Kolabrya. 
     

  • Ensure your email account is allowed to connect to a 3rd party app. If you are part of a company or organization and your email is provisioned by them, the admin or IT department may be blocking emails from your organization from connecting to 3rd party apps. You will want to check with your department and make sure 3rd party apps are allowed. See the following information on how to check 3rd party access for your account:

  • Make sure to click Allow for Google Calendar or Yes for Microsoft Calendar when connecting your account, so that Kolabrya has the permissions to sync your calendar events over.

How to get Meeting Link manually 

Google Meet 
  1. Open Google Calendar: Go to Google Calendar.

  2. Find Your Scheduled Meeting: Look for the event that contains your Google Meet meeting.

  3. Open Event Details: Click on the event to open the event details.

  4. Locate the Meet Link: In the event details, find the section labeled "Join with Google Meet."

  5. Copy the Link: The link will be in the format of meet.google.com/xxx-xxxx-xxx. Click on the link to highlight it, then right-click and select "Copy" or use Ctrl+C (Windows) or Cmd+C (Mac).

Zoom
  1. Open Zoom Application or Website: Log into your account on the Zoom website or open the Zoom desktop application.

  2. Navigate to Meetings: Click on the 'Meetings' tab on the left side if you're using the desktop app, or on the web, go to "My Account" > "Meetings."

  3. Select Your Scheduled Meeting: Find the meeting in the list of upcoming meetings.

  4. View Meeting Details: Click on the meeting to view details.

  5. Copy the Invitation Link: In the meeting details, locate the 'Invite Link' section. Click on "Copy Invitation Link" or manually select and copy the URL provided.

Microsoft Teams
  1. Open Microsoft Teams: Launch the Teams application or visit the Teams website.

  2. Access Your Calendar: Click on the 'Calendar' icon on the left-hand side.

  3. Find the Meeting: Look through the calendar for the scheduled meeting.

  4. Open Meeting Details: Click on the meeting to view more details.

  5. Copy the Meeting Link: In the details pane, there will be a link section titled "Join Microsoft Teams Meeting." Right-click on the link and select "Copy" or use Ctrl+C (Windows) or Cmd+C (Mac).

Manually adding Meeting Links to Kolabrya

If you prefer not to use the automatic join feature for your meetings, Kolabrya offers the flexibility of manually adding meeting links. Here's how you can do it:

  1. Copy Your Meeting Link: First, obtain the meeting link from your preferred platform (Google Meet, Zoom, or Microsoft Teams) by following the detailed instructions provided earlier.

  2. Access Kolabrya: Open your Kolabrya account.

  3. Navigate to the Add Kolabrya to Meeting Section: Go to the section where you can add Meeting Link.

  4. Paste the Meeting Link: In the designated field, paste the copied meeting link. This can be done by right-clicking in the field and selecting "Paste" or by using Ctrl+V (Windows) or Cmd+V (Mac).

  5. Add Kolabrya to Meeting: After pasting the link, make sure it's correct and then click on Add Kolabrya to Meeting. Kolabrya will now recognize this link for your upcoming meeting.

By manually adding your meeting links, you maintain control over which meetings Kolabrya assists with, ensuring that the tool is used exactly as you need it.

How to purge meeting data 

At Kolabrya, we prioritize the security and privacy of your meeting data, including transcriptions, attendee names, and dates. Our commitment to data security includes:

  1. Robust Encryption: All data is stored in highly secure, encrypted databases. This ensures that your meeting information is protected against unauthorized access.

  2. Strict Access Control: We have stringent access controls in place. Not even our support team has access to your meeting data, ensuring complete privacy.

  3. User-Controlled Data Purge: We understand the importance of having control over your data. As a user, you have the ability to delete your meeting data at any time. Here's how:

    • Go to Meeting History: Log in to your Kolabrya account and navigate to the 'Meeting History' section.

    • Locate the Meeting: Find the meeting whose data you wish to delete.

    • Click the Red Trashcan Icon: Each meeting entry has a red trashcan icon. Clicking this icon will immediately purge all data related to that meeting from our databases.
