1. Introduction to Kolabrya Welcome to Kolabrya. We specialize in enhancing workplace investigation productivity through our AI-driven web application, kolabrya.ai. Our platform is designed to analyze large volumes of documents and transcripts and generate analysis and reports.

2. Kolabrya.ai - AI Web Application Kolabrya.ai utilizes AI LLM technology to transform the way meetings are conducted, offering a unique and efficient meeting experience.

  • Sharing of User Data with Third-Party AI Platforms: Our platform is committed to maintaining transparency in how we handle user data. An essential component of our service involves the use of advanced AI-powered Large Language Models (LLMs) to process and analyze meeting transcriptions. When you use our platform, the content of your meetings, including discussions and the names of participants, is securely transmitted to these AI models for processing. Your data is housed in our Microsoft Azure regions and we do not use your data to share with 3rd parties to train AI models.

  • Data Collection and Use: We collect calendar information including meeting titles, links, dates, and times and meeting transcriptions. This information, obtained with user consent, is used to schedule the Kolabrya bot for joining meetings and providing our services.

  • Integration with Conference Tools: Kolabrya.ai integrates with various conferencing tools such as Google Meet, Zoom, and Microsoft Teams.

  • Specifically for Google : Kolabrya's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements and we ensure that this data is accessed and used solely for the purpose of enhancing meeting productivity.

  • Data Storage and Security: User data is stored securely in encrypted databases. After meetings, users have the option to delete their data from our systems.

  • Data Sharing and Processing: User data is not shared with third parties for marketing purposes. We use Large Language Models (LLMs) to analyze meeting data and generate insights, ensuring that this data does not contribute to the training of these models.

  • Data retention : We retain data to provide the advertised services including meeting history. This information is stored in our secure encrypted data bases as long as the users want. This data can be deleted using delete functionality and deletion will erase all history and logs from our databases.

  • Data Subject Access Rights: We recognize and respect your rights regarding your personal data. As a user or participant of our platform, you are entitled to exercise the following rights:

  1. Right to Access: You have the right to request access to your personal data that we hold. This includes the right to be informed about the nature of the data being processed, the purposes of processing, and the recipients to whom the data is disclosed.

  2. Right to Rectification: If you find that any personal data we hold about you is inaccurate or incomplete, you have the right to request corrections or updates to this data.

  3. Right to Erasure: Under certain conditions, you have the right to request the deletion of your personal data, commonly referred to as the 'right to be forgotten'.

  4. Right to Restriction of Processing: You may request that we restrict the processing of your personal data, which means that your data can only be held by us and not used further.

  5. Right to Data Portability: Where applicable, you have the right to receive the personal data that you have provided to us in a structured, commonly used, and machine-readable format, and also to request that we transmit this data to another controller.

  6. Right to Object: You have the right to object to the processing of your personal data, especially where the processing involves direct marketing.

3. Limited Use and User Consent Disclosure We adhere to the Google API Services User Data Policy, including the Limited Use requirements. Transparency in our data use practices is paramount, and we obtain explicit user consent for data processing.

4. We receive, collect and store any information you enter on our website or provide us in any other way in the application including voice, meeting transcription. In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We also collect personally identifiable information (including name, email, password, communications); payment details (including credit card information), comments, feedback, product reviews, recommendations, and personal profile.

When you conduct a transaction on our website or application, as part of the process, we collect personal information you give us such as your name, address and email address, meeting transcription, names of participants and meeting title. Your personal information will be used for the specific reasons stated above only. 

 

6. We collect such Non-personal and Personal Information for the following purposes:

  1. To provide and operate the Services;

  2. To provide our Users with ongoing customer assistance and technical support;

  3. To be able to contact our Visitors and Users with general or personalized service-related notices and promotional messages;

  4. To create aggregated statistical data and other aggregated and/or inferred Non-personal Information, which we or our business partners may use to provide and improve our respective services; 

  5. To comply with any applicable laws and regulations.

 

7. Our company website is hosted on the Wix.com platform and the application is hosted on Azure. Wix.com provides us with the online platform that allows us to sell our products and services to you. All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.

We may contact you to notify you regarding your account, to troubleshoot problems with your account, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our company, or as otherwise necessary to contact you to enforce our User Agreement, applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone, text messages, and postal mail.
